Tuition Deferment
Policy 02.01

POLICY STATEMENT

A tuition due date will be set for each semester. Enrollment is not complete until the tuition is paid to the campus business office or a deferment is authorized.

IMPLEMENTATION PROCEDURE

Deferments may be authorized when:

  1. The campus business office receives an authorization letter from a funding agency.
  2. Hennepin Technical College Financial Aid Department authorizes a deferment.
  3. The Dean of Student Affairs authorizes a deferment.

Students who have received a payment deferment are responsible for any balance due if their funding, as finally determined, does not cover their tuition, fees, books, or supplies.

Deferments Against Loan Proceeds
Students requesting deferments from loan proceeds receive deferments from the financial aid office at time of registration. Deferments are issued by the financial aid assistant on campus to cover tuition and fee costs when the loan application has been processed. The financial aid assistant updates the determent screen on SIS (Student Information System). The date used as a deferment date is determined by the scheduled disbursement of the loan proceeds.

The loan proceeds are received electronically by Hennepin Technical College and are applied to the student’s account on SIS. If tuition and fees were deferred, that amount is subtracted from the loan amount and the balance is issued in a check to the student.

Deferments Against Grants
When an award letter is processed for a student, the award amounts are entered on the deferment screen along with a deferment date that coincides with the scheduled disbursement data.

A deferment issued against an expected grant is removed at the time the grant is applied to the student’s account on SIS.

When a student has not completed the financial aid application and extenuating circumstances exist, the following steps may be used to grant a deferment:

  1. Student is referred to the financial aid assistant on campus for deferment.
  2. The financial aid assistant reviews what information, if any, has been received. If a partial file is in, the financial aid assistant calls the financial aid director for decision on issuing a deferment.
  3. In cases where no FAFSA (Free Application for Federal Student Aid) has been filed, the financial aid assistant on campus must request the following from the student:
  1. Complete the FAFSA application, including signatures.

  2. Copies of signed tax forms for students and/or parents.

  3. Completed HTC Financial Aid Application.

  4. Indication that, if needed, a financial aid transcript has been requested.   

The financial aid assistant on campus forwards items "a" through "c" to the financial aid director at Hennepin Technical College and then issues a deferment for up to 2 weeks.

After the status of the file has been reviewed, the financial aid director will decide if the deferment can be extended until the award letter has been processed. If the deferment has expired, the student should be referred to the tuition office. The student will be billed for the tuition immediately. The financial aid assistant on campus should be notified of the decision.

Satisfactory Progress
The college will be processing letters to students regarding their academic progress. The financial aid staff receives a report from SIS indicating the status codes for academic probation and/or suspension. If student is placed on academic suspension, all financial aid will be removed from SARA (Student Aid Reporting and Analysis) for future disbursements.
